Marketing teams reuse photography, music, customer logos, quotations, illustrations, and creator content across channels. Permission may be limited by time, territory, audience, or format. Without a rights record, an asset can remain live after its license or approval expires.

Record the rights that govern each asset
For each reusable asset, store the creator or source, rights holder, license or permission basis, allowed uses, territories, channels, and effective dates. Link the agreement or approval evidence, and identify the internal owner responsible for questions.
Treat customer names, quotes, case study results, and partner logos as governed assets too. A marketing team’s permission to use a logo in one presentation does not automatically establish permission for every campaign or market.
- Record creator, owner, and source file.
- Capture allowed channels, edits, and territory.
- Set start and expiry dates where applicable.
Connect rights metadata to distribution
Include rights status in the asset library or workflow that people use to find approved content. A file marked “approved” without scope can be reused incorrectly. Keep expired, pending, and restricted assets out of default campaign collections.
Before a campaign launches, verify that each major asset is cleared for its intended placement and audience. If a vendor or agency created the work, confirm ownership and reuse rights in the contract.
- Use searchable status and expiry fields.
- Link derivative assets to their source and permission.
- Assign review alerts before expiry, not after.
Plan renewal, replacement, and removal
When a right expires or is withdrawn, identify where the asset is live: website, ads, email, social, sales decks, and third-party listings. Assign owners to replace or remove it, then verify the change. Keep a record of when distribution stopped.
Audit a sample of active campaigns and high-visibility pages on a regular schedule. A rights inventory is only useful if it reflects actual publishing locations and has a clear escalation path.
- Maintain a channel and campaign usage log.
- Set a removal owner and completion date.
- Retain evidence for the duration required by policy.
