An active list recalculates membership from its filters. If a contact begins matching the criteria, the contact can enter; if the contact stops matching, it can leave. A static list stores a chosen membership set. Later property changes do not automatically re-evaluate that set against the original selection logic.
The key difference is membership behavior
Neither type freezes every field on a contact. A static list preserves who is on the list, while each person’s current CRM properties can continue to change. This matters when an export, workflow, or report reads the list at a later date.
- Active list: use when the audience should always reflect current conditions.
- Static list: use when you need a specific cohort or manually controlled membership.
- Both: document how the list is used and which downstream processes depend on it.
When an active list is useful
Active lists fit audiences defined by ongoing facts: contacts in a region, customers with a current subscription, or records whose lifecycle stage is currently at a particular value. They are useful for recurring workflows and operational views because membership follows the criteria as records change.
Write filters so they describe the audience precisely. For example, “has a valid country value” can be more maintainable than a long set of exclusions. Check how blank values, multiple associated records, and property history affect the logic in your portal.
- Use explicit inclusion criteria and add exclusions for records that must never enter.
- Check the list count before connecting it to a high-impact workflow.
- Review filter logic when a property definition or lifecycle process changes.
When a static list is useful
Static lists suit a fixed event invitee group, a reviewed import, a one-time research cohort, or a set of records approved for a particular operational task. They are also useful when a human needs to curate membership instead of letting changing CRM values alter it automatically.
A static list can become stale if the underlying reason for inclusion changes. If it represents permission, eligibility, or an active customer state, do not assume the frozen membership remains valid. Re-check current consent, suppression, and account status at the point of action.
- Name the cohort with a date or purpose, such as “Webinar registrants — 2026-10.”
- Record how members were added and whether later additions are allowed.
- Retire or archive lists that no longer have an owner or current purpose.
Choose based on the question
Ask whether the list should answer “who meets these conditions now?” or “which records were selected for this specific moment?” The first points to an active list; the second points to a static list. If a workflow changes records in ways that also alter list criteria, test the sequence carefully to avoid unexpected entry, exit, or re-enrollment behavior.
For a campaign audience, the list type does not replace subscription checks or channel-specific permissions. Treat segmentation and permission as separate decisions, and verify both before using the list to trigger communication.
